The challenges of surgical supply documentation
Three main barriers to documenting every product used in surgery are:
1. Busy nurses: Perioperative nurses need to juggle supply chain documentation tasks with patient care, so if the process of documenting an item isn’t easy, it may not get done at all.
2. Poor point-of-use documentation tools: POU product documentation systems are often unable to routinely capture full item data and may also fail to recognize many products. Surgical items that are difficult to record during the surgery risk not being documented at all.
3. The complex surgical inventory used: The different types of products consumed in surgery are a mix of owned stock, consignment inventory, and bill-only products (trunk stock). Items that aren’t ‘owned stock’ may not be preloaded into the system, may not be associated with a purchase requisition, and may not be listed correctly, or at all, in the hospital item master.
How bad OR data affect healthcare operations and management
Poor quality product consumption data has implications for healthcare operations and management:
HEALTHCARE SUPPLY CHAIN: The materials management team ends up basing procurement decisions on partial data and best guesses. They do not have an accurate view of stock or demand.
OR INVENTORY COST SAVINGS: Inaccurate point-of-use consumption data results in surpluses and wastage. Lack of data weakens contractual negotiations and prevents cost reduction activities like tackling PPI variation and improving product standardization.
IMPROVE PATIENT SAFETY: Patient safety is safeguarded by accurate medical records Consumption data is vital clinical information that needs to be easily referenced to support ongoing patient care and to handle any future healthcare product recalls.
HEALTHCARE MANAGEMENT: Inaccurate and incomplete consumption data means that leadership cannot calculate accurate cost-per-case data that is vital for planning provision, procurement, and financial forecasting.
Improving point-of-use data collection using healthcare technology
Snap&Go is a first-of-its-kind custom-fit data collection tool for the point of use. It uses image recognition technology, backed up by a healthcare AI system.
Here’s what it achieves:
EVERY reportable, billable item used in surgery is captured whether it’s a stock item, consignment inventory, a bill-only product, or a small sterilized consumable without a barcode.
FULL DATA is captured – UDI, batch number, lot, expiry date – no need to fix anything or add missing data.
AUTOMATED item identification is via a globally populated SKU database which acts like your virtual item master. There’s even a human back-office as a final safety net.
DOCUMENTATION is seamless – all consumption data feeds straight into your EMR for example, EPIC, Oracle Cerner, as well as your ERP and MMIS systems.
DATA in the form of real-time metrics, reports and analytics are produced for healthcare business intelligence.
